What changed with Epic on October 24
You enter your own orders. Verbal orders are for emergent situations only.
Order sets →Epic has no transcription. Dictate with Dragon or Abridge, and set it up before your next shift.
Dictation →Secure Chat replaces it in Hyperspace, Haiku, and Canto. Enroll your device before go-live.
Haiku and Secure Chat Setup →Nurses reach you in Secure Chat and by Epic VoIP. Keep Haiku enrolled and notifications on.
Haiku and Secure Chat Setup →Paper consents are going away. Consent to treat, procedures, and ambient documentation are captured electronically.
Notes and consent →Your training day includes protected time to personalize Epic. Do not skip it.
About the lab →Sign your legacy (Meditech, AthenaFlow, Clarity, and Avatar) notes
Only signed notes move into Epic. Unsigned notes in Meditech, AthenaFlow, Clarity, and Avatar do not convert. When a note or result was finalized decides when it shows up in Epic.
What has converted so far
As of October 13, from the data conversion team.
Loaded into Epic for all legacy systems, with data through August 19. Interface errors are being fixed between now and go-live.
Still being converted for all legacy systems.
Loading into Epic over the two weeks from October 13.
Pulled again on October 20 and loaded into Epic between October 20 and October 30.
Looking for a result finalized after August 19? Do not expect it in Epic yet. Check the legacy system for now.
Getting to older records after November 17
Older records in Meditech, AthenaFlow, Clarity, and Avatar
You keep view-only access to the legacy EMRs, Meditech, AthenaFlow, Clarity, and Avatar, after November 17. Nothing is switched off when the conversion window closes, so anything that did not convert is still there to read.
That access continues until Freeman's legacy archiving system is fully operational. At that point a button inside Epic will launch you straight to those older notes, and you will no longer need a login for the past EMRs. Best estimate for the archive going live is April 2027. We will confirm the date here once it is set.

Help during go-live
Four layers of help, closest first. Ask in person before you put in a ticket.
Go-live support has wound down. For how-to questions press F1 in Epic or ask a Super User in your department; for anything broken call 417-347-4500 or open a request at fhsitsm.saasit.com; for anything slow, Epic Suggestions.
Trained Freeman staff in black Super User vests on every unit and clinic. Your first stop for at-the-elbow help.
Staff wearing an An Epic Adventure badge buddy (Physician Champion, Super User, Nurse Champion, Change Advocate) have extra Epic training. Ask them.
For anything a Super User cannot fix on the spot. Pick Something in Epic? for Epic problems and Something Broken? for devices and everything else. Tickets are tracked; hallway conversations are not.
On site in your specialty from October 26 unless noted below. Ask your service line director or department lead to reach one; they hold the cell numbers.
