Clinic first-day checklist

What to do before your first clinic patient on Monday, October 26, and at the end of the day.

RETIRED
This checklist was for the first clinic day of go-live, Monday, October 26.

The first weeks have passed and the steps below are no longer shown. For help now, see Day One: who is helping, F1 tip sheets, and what history you will see in Epic.

Clinic first-day checklist: October 26

Twelve checks before your first clinic patient and at the end of the day. Work through them in order; the last one is for the end of clinic.

1
Log in and land in the right department.

If you work in more than one clinic, pick the right department on the login screen, or switch later with the department dropdown next to Log Out in the top right of Epic.

2
Open your schedule and check it against what you expect.

Appointments have been loaded into Epic by hand, clinic by clinic, and that work continues through go-live. Tell the front desk about a missing or duplicated visit as soon as you see it, not at 10 a.m.

3
Open In Basket.

Your pool is shared with your medical assistant, so refill requests and MyChart messages land there first and are forwarded to you as needed. Know where results and patient calls land before the first one arrives.

4
Confirm your personal settings came with you: speed buttons, preference lists, SmartPhrases.

Everything you built in PRD is there. If something is missing, that is a Super User question, not a ticket.

5
Haiku signed in, Abridge tab pinned in Hyperspace, Ambient speed button built.
6
Pre-chart your first patients.

About three years of notes and labs converted; older history is view-only in the legacy EMR; outside records arrive on their own through Care Everywhere.

7
In the visit, reconcile the Problem List, medications, and allergies and click Mark as Reviewed.

The note inherits whatever is wrong in those lists.

8
Orders and referrals from your preference list.

With Abridge, orders you said out loud wait in Heard in Visit Recording for you to pick and sign.

9
Prescriptions: confirm the pharmacy on the order.

Controlled substances go through the EPCS steps.

10
Before you leave, sign each visit: level of service, charges, note.

Signed notes and results go to the patient in MyFreemanHealth right away.

11
After Visit Summary: ask the patient whether they want it printed.

Recorded with Abridge? Pull its patient summary into Patient Instructions first with the .ambientptinstructions SmartPhrase. If not printed, it goes to MyFreemanHealth.

12
End of day: In Basket cleared or routed, visits signed, and your list of what slowed you down ready for your Super User.
